for Rutgers-Camden Email

General Information

This web page contains instructions for configuring the Macintosh version of the Entourage email program (included with Microsoft Office) for use with Rutgers-Camden mail servers. The instructions below will setup an IMAP account using secure connections for sending and receiving email. The instructions also include the use of SMTP Authentication, so that Rutgers-Camden mail servers can be used to both send and receive email. For general information on email at Rutgers, please visit the main email web page found here.

Please note that the information in this document is for Entourage v11.2.3 (Microsoft Office v2004) for Macintosh; however, the settings described below may apply equally to other versions of Entourage on Macintosh (Office vX notes are included throughout). Using the latest available version of Entourage is highly recommended, and can be found by using the "Microsoft AutoUpdate" application installed along with Office (v2004), as well as via the web, here (vX and v2004).

Follow the below instructions after installing and updating Entourage.
Mac OS X users should also download and install the latest Software Updates (open System Preferences, then click the "Software Update" icon and then click the "Check Now" button and follow the prompts to install any available updates).

Getting Started

If you are converting from a different email program, you may have the option of importing your existing email. Further information is provided in step #2 of "Configure Entourage," below, and near the end of this document.

If you are upgrading an existing version, your existing settings should be preserved and used by Entourage.

If you are moving from the use of POP to IMAP, you should check with your departmental UCS/IT support staff before using these instructions.

In any case, make sure that any other email programs are closed/quit before proceeding.

Configure Entourage

  1. Launch Entourage.
  2. If you have never opened or configured Entourage before, you will be shown an optional import prompt (Office vX users may need to click through the "Welcome," "Home" and "Work" screens to get to the email "Welcome" screen). Importing from another email program, if applicable, is up to you, keeping in mind that not all programs or file types are supported for importation.
    If you already have an existing Entourage account, you should use the "Tools" menu and select the "Accounts" option. In the window that appears, click the "New" button to create your Rutgers-Camden account.

  1. The "Set Up a Mail Account" screen will ask for your email address (Office vX users may have to enable junk mail filtering and enter their name first). Enter your email address, i.e., netid@camden.rutgers.edu, replacing "netid" with your personal NetID (all lowercase).
    NOTE: On this and remaining setup screens, you may see a "Configure account manually" button in the bottom left corner. You can click this button and skip to step #14 to configure your account without using the account wizard.

  1. Click the right-pointing arrow button.
    NOTE: If you see the "Automatic Configuration Failed" screen, simply click the right-pointing arrow button again to continue.
  2. The "Verify and Complete Settings" screen will be partially completed. Confirm that the following is entered (Office vX users may have had to enter some of this already, and on separate screens):
    • Your name: your name as you wish it to appear on outgoing email.
    • Email address: netid@camden.rutgers.edu, with netid being replaced by your personal NetID.
    • Account ID: your personal NetID (all lowercase, i.e., netid).
    • Entering a password and checking the "Save password in Mac OS X Keychain" box are optional...
    • The mail server entries should be setup as follows:
      1. Students (clam users):
        • Incoming mail server: email.clam.rutgers.edu
        • Incoming mail server type: IMAP
        • Outgoing mail server: email.clam.rutgers.edu
      2. Faculty/Staff (crab users):
        • Incoming mail server: email.crab.rutgers.edu
        • Incoming mail server type: IMAP
        • Outgoing mail server: email.crab.rutgers.edu

  1. Click the right-pointing arrow button.
  2. You now have the option to verify your settings (Office vX users will not have this option). Make sure that you are connected to the internet, and then go ahead and click the "Verify My Settings" button.
    If the previous screen was configured correctly, then verification should succeed.
    If not, click the left-pointing arrow button to go back and adjust settings as needed, then return to this screen to try again.

  1. Click the right-pointing arrow button.
  2. Enter a name for this account (i.e., Rutgers-Camden) in the "Setup Complete" screen.
    The checkboxes are optional, but are checked by default.

  1. Click the Finish button.
  2. Entourage will return to the main mail window and may prompt you to login to your account (if you did not provide/save your password).

  1. Right-click on your account ("Rutgers-Camden") in the left column and then select "Edit Account" from the menu that appears.
    NOTE: You can also reach this area by selecting "Accounts" from the "Tools" menu. In the window that appears, click the "Mail" tab, select the account and then click the "Edit" icon/button on the right (see step #2 for a sample screenshot).
  2. In the window that appears, you should begin at the Account Settings tab.
  3. The "Account Settings" should already be partially completed. You can add/edit other information optionally, but make sure that the following is entered:
    • Account name: a name for this account (i.e., Rutgers-Camden).
    • Name: your name as you wish it to appear on outgoing email.
    • E-mail address: netid@camden.rutgers.edu, with netid being replaced by your personal NetID.
    • Account ID: your personal NetID (all lowercase, i.e., netid).
    • IMAP server:
      1. Students (clam users):
        • email.clam.rutgers.edu
      2. Faculty/Staff (crab users):
        • email.crab.rutgers.edu
    • Entering a password and checking the "Save password in my Mac OS Keychain" box are optional...
    • SMTP server:
      1. Students (clam users):
        • email.clam.rutgers.edu
      2. Faculty/Staff (crab users):
        • email.crab.rutgers.edu

  1. In the "Receiving mail" section, click the "Click here for advanced receiving options" button.
  2. Check the "This IMAP service requires a secure connection (SSL)" box (leave the others unchecked).

  1. In the "Sending mail" section, click the "Click here for advanced sending options" button.
  2. Check the "SMTP service requires secure connection (SSL)" box.
  3. Leave the second unchecked.
  4. Check the "SMTP server requires authentication" box, and select the "Use same settings as receiving mail server" option.
  5. The last field is optional.
    NOTE: Some Internet Service Providers (ISPs) insist that you use their own SMTP servers for sending mail. If, after using the settings above, you find that you can not send email (especially if you can receive/read emails), please contact your ISP for the required SMTP settings.

  1. Click the Options tab.
  2. In the "Root folder:" field, enter INBOX. (be sure to include the period after "INBOX").

  1. Click the Advanced tab.
  2. By default, Entourage creates and uses a "Sent Items," "Drafts," "Junk E-mail" (Office vX users will not see the Junk folder choice) and "Deleted Items" folder (aka, special folders) under your "Rutgers-Camden" folder list, instead of those in the "Folders on My Computer" list (the latter being stored and only available on your local computer system, rather than on the Rutgers server). Before continuing, you should note that additional mail stored on the server will count towards your account quota limit. For more information on managing your quota, please see the Managing Your Disk Quota document. For information on how to adjust these settings and the ramifications of same, please see the Advanced Entourage Settings page.
    NOTE: If you have not set your "Root folder:" field (under the "Options" tab) to "INBOX." then you will receive an error creating special folders. If you have set the "Root folder:" field properly, you will see "INBOX." appear before each of the special folders the next time you view this area (see the similar screenshot on the Advanced Entourage Settings page).

  1. The "Security" tab is not used in this instance (and is not available in Office vX).
  2. Click the OK button to apply the settings and close the "Edit Account" window.
  3. If you have accepted using remote/server special folders, you would see a folder list similar to the below example:

Using Entourage

Sending/Receiving Mail

Once all of the settings have been entered and saved, you can click the Send/Receive button (usually the 2nd button from the right) to check for mail and send any outgoing mail that may not yet have been sent.

After closing the "Edit Account" settings, Entourage may prompt you for your password (unless you already entered it and/or saved it previously).

Importing From Other Programs

If you wish to import existing email or address books go to the "File" menu and choose the "Import" option and then one of the types of imports to perform. Follow the prompts, keeping in mind that not all programs or file types are supported for importation.

Deleted Messages

By default, Entourage will delete a message by moving it to the "Deleted Items" folder. To truly delete such emails, select the "Empty Deleted Items" option after holding the "ctrl" key and clicking (or right-clicking) the "Deleted Items" folder under your INBOX.
NOTE: POP users will have deleted mail moved to the "Deleted Items" folder in the "Folders on My Computer" list, and can empty "Deleted Items" via the "Empty 'Deleted Items'" menu option after holding the "ctrl" key and clicking (or right-clicking) the "Deleted Items" folder in the "Folders on My Computer" list.
