Computing Services Information Document PC/Windows

Existing Users and Secure Services

If you have already setup Outlook Express for use with Rutgers-Camden email servers, then you should simply confirm your settings for incoming and outgoing email. This can be accomplished as follows (whether you use POP or IMAP):
  1. Launch Outlook Express.
  2. Go to the "Tools" menu and select "Accounts..."
  3. Click the "Mail" tab.
  4. Select the appropriate account entry in the list and click the "Properties" button.
  5. Click the "Advanced" tab.
  6. Check BOTH of the This server requires a secure connection (SSL) boxes.
  7. Click the "Servers" tab.
  8. NOTE: If you are using email.clam.rutgers.edu or email.crab.rutgers.edu for your "Outgoing mail (SMTP):" entry, then make sure to do the following as well:
    • Check the My outgoing server requires authentication box.
NOTE: Some Internet Service Providers (ISPs) insist that you use their own SMTP servers for sending mail. If, after using the settings above, you find that you can not send email (especially if you can receive/read emails), please contact your ISP for the required SMTP settings.
  9. Click the "OK" button to save your settings and then the "Close" button to close the accounts window.

If you are moving from the use of POP to IMAP, you should check with your departmental UCS/IT support staff before doing so!

New users, or users setting up Outlook Express for use with Rutgers-Camden email servers for the very first time, should follow the instructions below.
Faculty/staff should use email.crab.rutgers.edu for their email server. Screenshots (below) are of student settings.

General Information

This web page contains instructions for configuring the Windows version of the Outlook Express email program for use with Rutgers-Camden mail servers. The instructions below will setup an IMAP account using secure connections for sending and receiving email. The instructions also include the use of SMTP Authentication, so that Rutgers-Camden mail servers can be used to both send and receive email. For general information on email at Rutgers, please visit the main email web page found here.

Please note that the information in this document is for Outlook Express v6.x for Windows; however, the settings described below may apply equally to other versions of Outlook Express on Windows. Notes are also included for users of older versions of Outlook (v97 or v2000). Using the latest available version of Outlook Express (or Outlook, as part of Microsoft Office) is highly recommended, and can be found by using the "Windows Update" feature for Windows. The Windows Update service can be accessed directly here, but only works when visited using Internet Explorer.

Follow the below instructions after using the Windows Update service to download and install needed Windows updates.

Getting Started

If you are converting from a different email program, you may have the option of importing your existing email. Further information is provided near the end of this document.

If you are upgrading an existing version, your existing settings should be preserved by the Windows Update service.

If you are moving from the use of POP to IMAP, you should check with your departmental UCS/IT support staff before using these instructions.

In any case, make sure that any other email programs are closed/quit before proceeding.

Configure Outlook Express

  1. Launch Outlook Express.
  2. If you have never opened or configured Outlook Express before, Outlook Express will begin with its account setup wizard.
If you already have an existing Outlook Express account, you should use the "Tools" menu and select the "Accounts..." option. In the window that appears, click the "Mail" tab, and then use the "Add   >" button to create your Rutgers-Camden "Mail..." account.

      • Incoming mail server: email.crab.rutgers.edu
      • Outgoing mail (SMTP) server: email.crab.rutgers.edu
Here is a sample screenshot:
  1. Click the Next > button.
  2. The "Internet Mail Login" screen should be set as follows:
    • Account name: your personal netid
    • DO NOT CHECK the "Log on using Secure Password Authentication (SPA)" box.
    • NOTE: Entering a password and/or checking the "Remember password" box is optional.
Here is a sample screenshot:
  1. Click the Next > button.
  2. Confirm your information at the "Congratulations" page.
Here is a sample screenshot:
  1. Click the Finish button.
  2. Outlook Express will open the main mail window and prompt you to view available folders. You should click the No button, for now, as there are more settings that should be configured beforehand.
  3. Right-click on your account (it will likely be named either "email.clam.rutgers.edu" or "email.crab.rutgers.edu") in the left column and then select "Properties" from the menu that appears.
NOTE: You can also reach this area by selecting "Accounts..." from the "Tools" menu. In the window that appears, click the "Mail" tab, select the account and then click the "Properties" button on the right (see step #2 for a sample screenshot).
Here is a sample screenshot:
  1. In the properties window that appears, you should begin at the General tab.
  2. The "General" settings should already be partially completed. You can add/edit other information optionally, but make sure that the following is entered:
    • The first box is the account name. Enter a name for this account (i.e., Rutgers-Camden).
    • Name: your name as you wish it to appear on outgoing email.
    • Email Address: netid@camden.rutgers.edu, with netid being replaced by your personal NetID.
    • Check the Include this account when receiving mail or synchronizing box.
Here is a sample screenshot:
  1. Click the Servers tab.
  2. The "Servers" settings should already be partially completed. You can add/edit other information optionally, but make sure that the following is entered/selected:
    • My incoming mail server = IMAP
    • Incoming mail (IMAP):
      • Students (clam users) enter email.clam.rutgers.edu
      • Faculty/staff (crab users) enter email.crab.rutgers.edu
    • Outgoing mail (SMTP):
      • Students (clam users) enter email.clam.rutgers.edu
      • Faculty/staff (crab users) enter email.crab.rutgers.edu
    • Account name: your personal netid (all lowercase)
    • NOTE: Entering a password and/or checking the "Remember password" box is optional.
    • DO NOT CHECK the "Log on using Secure Password Authentication" box.
    • Check the My server requires authentication box.
Here is a sample screenshot:
  1. Click the Settings... button next to the "My server requires authentication" box.
  2. In the window that appears, make sure to select the Use same settings as my incoming mail server option.
  3. Click the OK button.
Here is a sample screenshot:

NOTE: Some Internet Service Providers (ISPs) insist that you use their own SMTP servers for sending mail. If, after using the settings above, you find that you can not send email (especially if you can receive/read emails), please contact your ISP for the required SMTP settings.
  1. Click the Advanced tab.
  2. Under the "Outgoing mail (SMTP) area, check the This server requires a secure connection (SSL) box.
NOTE: Norton/Symantec products may interfere with your ability to send email. If you have trouble sending email, and are using Norton Anti-Virus or SystemWorks (or similar), you will need to disable outgoing email scanning. We highly recommend the use of "RADS", available free to the Rutgers community. If switching, you may wish to uninstall Norton/Symantec products before installing any replacements.
  3. Under the "Incoming mail (IMAP) area, check the This server requires a secure connection (SSL) box.
Here is a sample screenshot:
  1. Click the IMAP tab.
  2. In the "Root folder path:" field, enter INBOX. (be sure to include the period after "INBOX").
  3. Check the Check for new messages in all folders box.
  4. By default, Outlook Express sets the "Special Folders" area to create and use a "Sent Items" and "Drafts" folder under your "Rutgers-Camden" folder list, instead of those in the "Local Folders" list (the latter being stored and only available on your local computer system, rather than on the Rutgers server). Before continuing, you should note that additional mail stored on the server will count towards your account quota limit. For more information on managing your quota, please see the Managing Your NetID (account) Quota document. For information on how to adjust these settings and the ramifications of same, please see the Advanced Outlook Express Settings page.
Here is a sample screenshot:
  1. Click the OK button to apply the settings and close the properties window.
  2. If you have setup remote/server special folders, you would see a folder list similar to the below example:

Using Outlook Express

Sending/Receiving Mail

Once all of the settings have been entered and saved, you can click the Send/Receive button (usually the 2nd button from the left) to check for mail and send any outgoing mail that may not yet have been sent.

Outlook Express will prompt you for your password (unless you already entered it and/or saved it previously). Enter the password for your personal NetID and click the "OK" button. Checking the box to save your password is optional.
Here is a sample screenshot:

Importing From Other Programs

If you wish to import existing email or address books go to the "File" menu and choose the "Import" option and then one of the types of imports to perform. Follow the prompts, keeping in mind that not all programs or file types are supported for importation.

Deleted Messages

By default, Outlook Express will delete a message by marking it as deleted (with a line through it).
NOTE: POP users will have deleted mail moved to the "Deleted Items" folder in the "Local Folders" list (aka, "Outlook Today" or "Personal Folders" in older versions of Outlook).
  • To change whether deleted messages are shown or hidden, select a given folder and then go to the "View" menu, then "Current View" submenu to check/unchek "Show Deleted Messages" as desired (aka, "Hide Messages Marked for Deletion" in older versions of Outlook). You can repeat this for each folder. We highly recommend keeping deleted messages visible for ALL of your folders.
NOTE: In older versions of Outlook, hidden deleted messages can be shown again by going to the "View" menu, then the "Current View" submenu and selecting the "IMAP Messages" option (this unchecks the "Hide..." option below it).
  • If deleted messages are visible, you can right-click on any deleted message to choose "Undelete Message" (aka, "Undelete" in older versions of Outlook) as desired.
  • Whether or not you show deleted messages, then they may inadvertently pile-up. It is imperative that you regularly use the "Edit" menu to "Purge Deleted Messages" for each IMAP folder.
  • NOTE: POP users empty "Deleted Items" via the "Empty 'Deleted Items' Folder" option in the "Edit" menu.
Some advanced topics are addressed on the Advanced Outlook Express Settings page.
