Configuring Outlook
for Rutgers-Camden Email |

Existing Users and Secure Services
If you have already setup Outlook for use with Rutgers-Camden email servers, then you should simply confirm your settings for incoming and outgoing email. This can be accomplished as follows (whether you use POP or IMAP):
- Launch Outlook.
- Go to the "Tools" menu and select "E-mail Accounts..."
- Select the "View or change existing e-mail accounts" radio button and click the "Next" button.
- Note the server entry in the "Outgoing mail server (SMTP):" field.
- Click the "More Settings..." button.
- Click the "Advanced" tab.
- Check BOTH of the This server requires a secure connection (SSL) boxes.
- NOTE: If you are using email.clam.rutgers.edu or email.crab.rutgers.edu for your "Outgoing mail server (SMTP):" entry (on the main "E-mail Accounts" screen, prior), then make sure to do all of the following as well:
- Click the "Outgoing Server" tab.
- Check the My outgoing server (SMTP) requires authentication box.
- Select the Use same settings as my incoming mail server option.
NOTE: Some Internet Service Providers (ISPs) insist that you use their own SMTP servers for sending mail. If, after using the settings above, you find that you can not send email (especially if you can receive/read emails), please contact your ISP for the required SMTP settings.
Outlook 2007 users: After selecting SSL encryption for your outgoing settings, you may also need to change your SMTP port number from 25 to 465 (only do this if you have problems sending email).
- Click the "OK" button to save your settings and return to the "E-mail Accounts" window.
- Click the "Next" button and then the "Finish" button to close the "E-mail Accounts" window.
If you are moving from the use of POP to IMAP, you should check with your departmental UCS/IT support staff before doing so!
New users, or users setting up Outlook for use with Rutgers-Camden email servers for the very first time, should follow the instructions below.
Faculty/staff should use email.crab.rutgers.edu for their email server. Screenshots (below) are of student settings.
General Information
This web page contains instructions for configuring the Outlook email program for use with Rutgers-Camden mail servers. The instructions below will setup an IMAP account using secure connections for sending and receiving email. The instructions also include the use of SMTP Authentication, so that Rutgers-Camden mail servers can be used to both send and receive email. For general information on email at Rutgers, please visit the main email web page found here.
Please note that the information in this document is based upon Outlook v2003; however, the settings described below apply equally to Outlook v2002/XP. Applying the latest updates for your version of Outlook is highly recommended, and can be found by using the "Office Update" feature for Windows. The Office Update service can be accessed directly here, but only works when visited using Internet Explorer, and only for Office v2000 or greater.
Follow the below instructions after using the Office Update service to download and install needed Office updates.
NOTE: Outlook v2000 and v97 more closely resemble Outlook Express for Windows, when it comes to configuring email. If you are using one of these much older versions of Outlook, please see the Outlook Express configuration instructions.
Getting Started
If you are converting from a different email program, you may have the option of importing your existing email. Further information is provided near the end of this document.
If you are upgrading an existing version, your existing settings should be preserved by the Office Update service and/or the Microsoft Office installer.
If you are moving from the use of POP to IMAP, you should check with your departmental UCS/IT support staff before using these instructions.
In any case, make sure that any other email programs are closed/quit before proceeding.
Configure Outlook
- Launch Outlook.
- If you have never opened or configured Outlook before, Outlook will begin with its account startup wizard. Click the Next > button.
NOTE: If you already have an existing Outlook account, you should use the "Tools" menu and select the "E-mail Accounts..." option. In the window that appears, select the "Add a new e-mail account" option and click the "Next" button to create a new Rutgers-Camden account.
- The "E-mail Upgrade Options" screen will next prompt you to import at this time. This is optional, and can be performed later, so you should select the Do not upgrade option
- Click the Next > button.

- When the "E-mail Accounts" screen prompts you to configure an email account, select the Yes option.
- Click the Next > button.

- On the "Server Type" screen, select the IMAP option.
NOTE: This is the first screen that existing Outlook users will see when they "Add a new e-mail account."
- Click the Next > button.

- The "Internet E-mail Settings" screen should be configured as follows:
- The "User Information" area should be setup as follows:
- Your Name: your name as you wish it to appear on outgoing email.
- Email Address: netid@camden.rutgers.edu, with netid being replaced by your personal NetID.
- The "Server Information" area should be setup as follows:
- Students (clam users):
- Incoming mail server (IMAP): email.clam.rutgers.edu
- Outgoing mail server (SMTP): email.clam.rutgers.edu
- Faculty/Staff (crab users):
- Incoming mail server (IMAP): email.crab.rutgers.edu
- Outgoing mail server (SMTP): email.crab.rutgers.edu
- The "Logon Information" area should be setup as follows:
- User Name: your personal netid
- NOTE: Entering a password and/or checking the "Remember password" box is optional.
- DO NOT CHECK the "Log on using Secure Password Authentication (SPA)" box.

NOTE: You can reach this area in the future by selecting "E-mail Accounts..." from the "Tools" menu. In the window that appears, select the "View or change existing e-mail accounts" option and then click the "Next >" button. In the subsequent "E-Mail Accounts" screen, select the account and click the "Change..." button.

- Click the More Settings... button.
- In the properties window that appears, you should begin at the General tab.
- The "General" settings should already be partially completed. You can add/edit information optionally, including the following:
- The first box is the account name. Enter a name for this account (i.e., Rutgers-Camden).
- The other two fields are optional.

- Click the Outgoing Server tab.
- Select the Use same settings as my incoming mail server option.

- Click the Advanced tab.
- Under the "Incoming mail (IMAP) area, check the This server requires an encrypted connection (SSL) box.
- Under the "Outgoing mail (SMTP) area, check the This server requires an encrypted connection (SSL) box.
NOTE: Norton/Symantec products may interfere with your ability to send email. If you have trouble sending email, and are using Norton Anti-Virus or SystemWorks (or similar), you will need to disable outgoing email scanning. We highly recommend the use of "RADS", available free to the Rutgers community. If switching, you may wish to uninstall Norton/Symantec products before installing any replacements.
- In the "Root folder path:" field, enter INBOX. (be sure to include the period after "INBOX").

- Click the OK button to apply the settings and close the properties window.
- Click the Next > button.
- Confirm your information at the "Congratulations" page and click the Finish button.
NOTE: Some Internet Service Providers (ISPs) insist that you use their own SMTP servers for sending mail. If, after using the settings above, you find that you can not send email (especially if you can receive/read emails), please contact your ISP for the required SMTP settings.

- Outlook does not support the option of using special folders under your "Rutgers-Camden" folder list, instead of those in the "Personal Folders" list (the latter being stored and only available on your local computer system, rather than on the server). However, it does create and use a "Junk E-mail" folder in your account, and which is associated with Outlook's built-in "Junk E-mail" handling. To adjust Outlook's junk email settings, select "Options..." from the "Tools" menu and click the "Junk E-mail..." button under the "Preferences" tab in the screen that appears.
NOTE: Outlook's "Junk E-mail" folder is distinct from the Rutgers "Spam-Messages" folder. You should manage each folder appropriately.
- Now that all of your settings have been completed, you should see a folder list similar to the below example:

Using Outlook
Sending/Receiving Mail
Once all of the settings have been entered and saved, you can click the Send/Receive button (usually in the middle of the "Standard" toolbar) to check for mail and send any outgoing mail that may not yet have been sent.
Outlook will prompt you for your password (unless you already entered it and/or saved it previously). Enter the password for your personal NetID and click the "OK" button. Checking the box to save your password is optional.

Importing From Other Programs
If you wish to import existing email or address books go to the "File" menu and choose the "Import and Export" option. Follow the prompts, keeping in mind that not all programs or file types are supported for importation.
Deleted Messages
By default, Outlook will delete a message by marking it as deleted (with a line through it).
NOTE: POP users will have deleted mail moved to the "Deleted Items" folder in the "Personal Folders" list.
- To change whether deleted messages are shown or hidden, select a given folder and then go to the "View" menu, then the "Arrange By" submenu and the "Current View" sub-submenu to check "Hide Messages Marked for Deletion." To turn this feature off, you must then go to the "View" menu, then the "Arrange By" submenu and the "Current View" sub-submenu to select "Customize Current View..." and then click the "Filter..." button. In the filter screen that appears, click the "Advanced" tab and select the IMAP Status equals Unmarked" entry and then click the "Remove" button. Click "OK" and then "OK" again to close these screens.

- You can repeat this for each folder. We highly recommend keeping deleted messages visible for ALL of your folders.
- If deleted messages are visible, you can right-click on any deleted message to choose "Undelete" as desired.
- Whether or not you show deleted messages, they may quickly begin to accumulate. It is imperative that you regularly use the "Edit" menu to "Purge Deleted Messages" for each IMAP folder.
- NOTE: POP users empty "Deleted Items" via the "Empty 'Deleted Items' Folder" option in the "Tools" menu.
Sent Mail and Drafts
By default, Outlook saves any messages that you send into your "Sent Items" folder under the "Personal Folders" (local) list. Any messages that you save, to send later, are saved in your "Drafts" folder, also in the "Personal Folders" (local) list. IMAP users have the option of using a folder under your "Rutgers-Camden" folder list, instead of those in the "Personal Folders" folder list (the latter being stored and only available on your local computer system, rather than on the server). Before choosing to do this, you should note that additional mail stored on the server will count towards your account quota.
